Summary:
MS Teams retention-driven deletions are not currently synced, which is a known gap with no ETA for resolution. Until a proper sync mechanism is built, stale records may persist and surface to end users. A partial workaround exists but comes with notable limitations.
Suggestion
As a near-term workaround, customers can configure the "Limit by Date" content ingestion setting from the admin panel to reduce the volume of stale records. However, stakeholders should be aware of the following caveats before recommending this path:
- Fixed 6-month window only — The date filter supports a single, non-configurable 6-month lookback period. There is no way to adjust this to a shorter or longer window.
- Initial setup only — The "Limit by Date" setting must be configured during the initial connector setup. Unlike Allow/Blocklist settings, it cannot be modified after setup is completed.
- Stale record visibility up to ~5 months 20 days — Even with the filter enabled, users may still encounter stale records for up to 6 months minus 10 days before they age out.
