Capabilities to review comment details and who added the comment

XMLWordPrintable

      Current state:

      • When an action is required from the assignee and a comment is added, the system does not consider:
        • The content/details of the comment, or
        • Who added the comment (e.g. assignee, reporter, customer, internal user).
      • As a result, the plan/action is automatically marked as completed (checked/ticked) and the workflow moves to the next step, even if:
        • The comment is just a question or clarification, or
        • The comment was not added by the responsible assignee.

      Proposed future state:

      • Introduce capabilities to:
        • Evaluate comment details (e.g. detect if it’s a confirmation, approval, or completion note vs. a question or clarification).
        • Identify who added the comment (assignee vs. other roles such as reporter, customer, or collaborator).
      • Use this information to:
        • Only mark the action as completed when the comment meets defined criteria (e.g. added by the assignee and matches a “done/approved” pattern).
        • Keep the action open or flag it for review when the comment does not meet those criteria.
