Issue Summary
In the Atlassian Admin Portal --> Insights --> Platform Usage, admins may see an unexpected and extreme spike in the total number of indexed objects, but they cannot account for the newly indexed objects as they have no 3rd-party Rovo Connectors configured. At first glance, this may appear to be a security breach, but it is not.
Note: Third-party Rovo Connectors can only be added by an admin.
This is due to end users authenticating to Smart Link Connectors (Google Drive, MS Teams, Figma, etc) which triggers an indexing job for objects from that 3rd-party service. A complete list of the available Smart Link Connectors is available here:
Note: Connecting to a Smart Link connector is an end-user driven task that does not require an admin's approval.
Steps to Reproduce
- Go to Confluence and type in any search topic in the search bar.
- On the right side, select the app (for example, Google Drive), then select Connect.
- Step through logging in and granting access from the app.
- (Admin only) Log into the Atlassian Admin Portal, and navigate to Insights --> Platform Usage, and observe a growing index.
Expected Results
Admins are able to filter indexed objects by their source (3rd-party Connector vs Smart Link Connector) and have visibility into how many Smart Link connectors have been authenticated and which users initiated it.
Actual Results
Admins have no visibility into Smart Link indexed objects counts or Smart Link connections.
Workaround
Currently there is no known workaround for this behavior. A workaround will be added here when available
