User Problem
Users are seeking more transparent and inclusive notification processes regarding board deletions under Trello's dormant policy. According to the current policy, if a board has no members other than the admin and the admin account becomes inactive, the board is deleted—even if there has been recent activity on the board by other workspace admins. This can result in unexpected data loss, especially if users are unaware that the admin account is inactive or scheduled for deletion. The business need is to ensure that all relevant users are notified and have an opportunity to intervene before critical data is lost.
Suggested Solutions
- Revise the workflow to consider overall board activity (not just admin account activity) before scheduling a board for deletion.
- Notify all workspace members, not just the admin, when a board is at risk of deletion due to admin inactivity or removal.
- Allow for assignment of backup admins or alternative points of contact who can receive and respond to such notifications.
- Introduce in-app banners or prominent alerts to inform affected users of pending critical actions.
- Provide a way for active users to claim or transfer board ownership if the original admin is inactive.
Current Workarounds
None available. Currently, only the admin is notified, and if that account is forgotten or inaccessible, other members are not informed and cannot prevent board deletion.
