Currently, when data retention policies are enabled in Loom (e.g., automatic deletion of videos after a set period), there are no notifications sent to video owners or admins before their content is deleted. This was confirmed both by reviewing Loom’s documentation and by checking with engineering, who verified that no such notification logic exists in the codebase.
This suggestion arises from real-world scenarios where users and admins have expressed concern about the lack of advance notice before videos are permanently deleted by the data retention policy.
In practice, teams may enable retention settings to comply with organizational or regulatory requirements, but without pre-deletion notifications, users are often unaware that their content is scheduled for removal. This can lead to accidental loss of important information, as there is no opportunity to review, save, or request exceptions for specific videos before deletion occurs. The absence of notifications has been observed to cause confusion and frustration, especially in environments where data governance and transparency are critical.
- Lack of notification can result in accidental loss of important content, as users are not given a chance to review or save videos before deletion.
- Admins and video owners have no visibility or control over which videos are about to be deleted, which can lead to frustration and support escalations.
- Customers expect transparency and control over their data, especially in enterprise environments where compliance and data governance are critical.
Implement a notification system that alerts video owners (and optionally workspace admins) before their videos are deleted due to data retention policies. This notification should be sent with enough lead time (e.g., 7 days before deletion) and include clear instructions on how to request an exception or save the video if needed.
- Reduces accidental data loss and support tickets.
- Improves customer trust and satisfaction.
- Aligns Loom with best practices for data governance and compliance.
