      Problem Definition

      As a user I would like to be able to create a custom project template aside from what has been pre-created so that I can specify my own default workflow, default scheme, etc.

      Suggested Solution

      This feature can be added as an option on create project screen, so user can browse or select the custom template.

            The work around we have come up with is to create a template project and then copy it to each new project using the app Deep Clone. The Jira excel export/import functionality is horrendous and never works properly.

Our Jira Admin team said two things, relevant to how Jira is implemented at this company, yet possibly relevant to all: 

            "First, if custom Jira templates did exist, an implemented template would have to follow some project management workflow process, just like any regular Jira project. If the flow is in any way different from a defined workflow, a separate workflow process would have to be designed and then implemented for each template.

            At least as far as this Jira Admin team goes, they could not possibly have enough resources available to design, implement, and then manage hundreds to likely thousands of extra workflows and templates. It is at minimum, a quadruplication of effort.

            I would add to this that a company should be able to create a template that emulates their stage gate process.  When you create the project you get a few prompts.  Start date, amount of subassemblies that make up the overall product and then the timeline gets populated showing all the high level tasks such as validation and the low level tasks that make up validation (EMC, shipping test, life test, etc).  The assumption here is that most companies take their products through the same process with about the same timing.

            When a project beats the timeline you could make it like Mario Kart where you can race the little ghost of your previous times.  You see where other projects were at at the same time period from your start date.

            We are also looking into other options. Looking at the costs of Atlassian subscriptions and the hassle to get things done we're looking into the usage of kuch sharepoint and maintained by an external party.

            But we would like to see a project template that has workflows, issue types etc. already setup by us, for use across multiple new projects.

            There is a relatively simple work around for this though, using the excel import issues functionality one can have the recurring issues in excel prepared and import them at the creation of each project.

            Agreed. We're struggling with user adoption in some areas due to the complexity in project setup (a lot of non-technical users in the business), and a lot of error correction from users setting up incorrectly. The ability to give our users a pre-configured template that matches the company workflow is critical to our team.

            This is critical to providing standard ways of working in any organisation, default is good but not always a good fit for everyone. A template enables easy project creation the same way every time to an organisation's requirements. We are all different which is exactly why Jira is such a great tool, it is easily adaptable to any situation.

            This would be amazing. We work with dozens of clients and as each one comes on board we need to do the same steps. Having to manually create each individual task is painful and this feels like a big win for the Jira team.

            Creating custom Jira project templates is a must because every time you create a project with one of default templates you have to re-assign workflows, issue types, screens and delete the default ones... Why...?

            When starting a new Software Development project, it would be good to have a template that includes subtasks with steps such as 'Arrange initial requirements meeting' or 'Define User Stories'.

            This way we can ensure a process is being followed for new work and we can see the progress. Any one could start a new project, and we would have the confidence that the necessary steps are being completed to produce good requirements specification and a good level of information about the work to be done. Saves having a checklist in a document somewhere and then creating those steps in Jira every time we get new work.

            This is definately a "miss" by the Jira Product Team. It's pretty naive to imagine that organisations wouldn't want to present their managers with standard project setups - even the smallest organisation would benefit from this.

             

            Hope there's some movement on this in the near future; reviewing other tools that may be lacking in some of the excellent functionality Jira has to offer but where this is significant enough (affecting every project created) to consider moving to another option.

            Hi All, here's some interesting news on this topic that I hope is helpful...

            A few weeks ago, I discovered a 'Forms' link in our EPD (Equinix Product Documentation) Jira project (right below the Timeline). I did not receive any notification about this, but after seeing it I decided to test it and see if we could use it for any departmental processes. 

            I found the link when I clicked on the 'Projects' tab in Jira.  Before testing the form, I edited the default field labels in the form to match our Issue checklist, and added a new field object by dragging it onto the form.

            After I added test content in the fields and clicked the 'Submit' button, a new ticket displayed on our Jira Board. It is easy to use! I wrote up a short procedure about how it works in my project if anyone is interested (includes images - this post did not accept my graphics).   

            Anyway, check and see if the 'Forms builder link is in your Jira Project. If it isn't, contact your Jira Admin directly from Jira Settings or * fill out an *IT support ticket and request the Forms builder link. 

            So far, I am happy that it at least the form process works...it does create a new ticket. Now to find something to use it for!

            My two cents... As a PM working for a relatively small organisation it would be a huge benefit to cut down admin time by being able to build and upload a project as a template for future use. I was suprised to see that this feature doesn't exist OOTB.

            I researched the Jira Template issue this week and there are two challenges:

            1) Atlassian charges extra $$$$ for Cloud Template services (looks like $2K -$9K annual and UP) and;

            2) It does not look like [Atlassian] includes an Editor with 'Templates', they turn the option on and allow you to select templates from a Template Marketplace where you can subscribe to 'Pre-made Templates'. 

            Personally, I do not see the point of that, since no business changes their business rules or processes to fit a template - not even a small local pizza shop.

            I will say that Product Documentation EPD has a small need for a custom template or two...but it needs to follow our internal Equinix Jira workflow and process.

             

            Find out if there is a 'Template Designer' like the one SalesForce uses...or something similar.

            Our text-editor (1995) had these features already build in, FREE!

            It's like we switched from our type-machine to Notepad. We're almost 10 years further Atlassian! for real?

            Just to note, after finding this limitation I tried for a while to spin-up new projects/epics etc using Automation. In theory it seemed possible, but I wanted to do it in a next-gen project and I found there are some bugs with the APIs for them. I didn't try it for classic projects. The only other workaround was to import a template from Microsoft Project via WBS Gannt charts, which took ages... That's right - I had to go to the competitor for assistance...!
