Issue Summary
Instead of the Former user being the value displayed for fields such as assignee or reporter where a deleted user is present, the full name value is being retrieved from their Atlassian Account after removing the user from the site. Provide a way for organization admins to anonymize the full name for removed/deactivated users.
Steps to Reproduce
- Create a user.
- Assign them an issue or make them the reporter.
- Remove the user from the site.
- View the issue where they are included.
Expected Results
The deleted user is displayed as a Former user. This is important as to keep the user name anonymous to comply with the GDPR requirements for the customers.
Actual Results
The full name value from their Atlassian Account is shown.
Workaround
You can anonymize the user data by following the below two methods:
- Using an application on the Marketplace, like with this search result: https://marketplace.atlassian.com/search?query=Data%20protection%20
- Our documentation provides a guide to anonymize users in bulk: https://actonic.atlassian.net/wiki/spaces/GDPR114/pages/6932332623/Anonymize+inactive+users+in+bulk and also gives anonymization possibility from the UI.
- On top of that, you can transfer ownership from any number of users to another user with this tool, which means reassigning anything, including group memberships and dashboards, based on the scope and configuration.
The best way to perform bulk actions like user anonymization or content anonymization (PII, links…) is to use Marketplace to find such applications.
Compliance with GDPR, DSGVO, CCPA, and any other data protection regulation can be achieved with such tools.
