For context, here is the suggestion thread that spawned this ticket: https://community.atlassian.com/t5/Trello-questions/Can-I-show-all-labels-by-default-in-the-quot-Labels-quot-sub/qaq-p/2433715
Here's my explanation again, paraphrased from parts of the thread:
Please, give us the option:
[x] always show all labels
When clicking 'edit labels' on a Trello card, the current behaviour shows a list of ~8 frequently used labels.
While this might be a time-saver for users with low resolution screens, 100s of rarely-used labels and a handful of often-used labels in their board, for users with high resolution screens and a small number of well-defined labels (10-20) the 'frequently used labels' feature is a hindrance, creating cognitive hurdles and unnecessary workflow steps.
Workflow with 'recently used labels' shown by default (current behaviour) :
- Click 'add a card'
- Type description and hit enter
- Click the pencil menu, select 'edit labels'
- Scan the list of frequently used labels — which varies, meaning it has to be visually parsed with high attention — to see if the labels you need all happen to be shown, and click those that are
- Click 'show more' if one of the labels you need isn't there
- Realise the labels are now in a different order, scan them all again to find the ones you still need and click them
Workflow with 'always show all labels' selected (suggested feature) :
- Click 'add a card'
- Type description and hit enter
- Click the pencil menu, select 'edit labels'
- Scan the list of labels for the labels you need and click them
Assuming you don't have a poorly defined project with 100s of infrequently used labels that you'd need to scroll through, the second workflow scenario is clearly superior.
A crucial part of the planning process for any project is to have well-defined and holistic task categories. While catering for people that litter their planning space with far too many ill-conceived labels could be considered compassionate design, the side effect is that those people who are well organised have to suffer disproportionately.
So please, give us the option:
[x] always show all labels
I just started using Trello and I would love for this feature to be added! It would decrease the amount of unnecessary clicks to get to the same task, even if it means we have to scroll down a little bit more. Microsoft Planner has this feature, and I think small ease-of-use changes like this help make Trello even more competitive with Planner! Thank you
